Who is responsible

Simply Nearby is operated by a sole trader who is the data controller for the personal information described in this notice. The controller’s full legal name, business identity and geographical establishment address are provided on our Legal information page.

For privacy enquiries, email [email protected]. Our business address is not open for public visits.

What personal information is involved

• Postcode searches. When you request a distance search, your browser sends the postcode to Postcodes.io to find coordinates. This directory does not keep a server-side database of visitors' postcode searches. The postcode service can see technical request details such as your IP address and may retain its own logs.
• Emails. If you contact us, we receive the address and information you send, such as a correction request, business details or a question. Please avoid sending financial, medical or other sensitive information.
• Website security data. Our hosting provider may process technical details including IP address, device/browser information, timestamps and security records.
• Business listings. We use publicly available provider websites and contact pages to prepare listings. Some details about small businesses and sole traders, including names and work phone numbers, may be personal information.

Why we use information and our legal reasons

• Respond to enquiries and correct directory entries: legitimate interests in running an accurate and responsive directory.
• Publish relevant business contact details: legitimate interests in helping people locate repair services and maintaining accurate public information, balanced against providers' rights to correct or object to information.
• Protect the site and investigate abuse: legitimate interests in security and reliability.
• Legal records: legal obligation where records must be kept by law.

We do not currently offer provider accounts, customer bookings, paid referrals or personalised advertising. We do not make decisions about you with legal or similarly significant effects by automated processing.

Who receives information

Cloudflare hosts the site, handles site security and forwards incoming email. Google Gmail is used to receive and manage correspondence. Brevo carries outgoing email when we reply. Postcodes.io receives searches you actively submit. If you follow a provider website link, that provider's website is responsible for its own privacy practices.

Some service providers may process information outside the UK, depending on their systems and contractual arrangements. Where UK data protection law requires safeguards for international transfers, we will use the applicable mechanisms. Contact us if you would like details of a particular provider or transfer.

How long information is kept

We normally delete completed enquiries and corrections no later than 12 months after the last relevant correspondence, except where an ongoing dispute, security investigation or legal obligation requires longer. We keep provider listing details while they remain relevant and lawful and review them for accuracy. Hosting and third-party service operators apply their own technical and security log retention periods.

Your rights

Depending on the circumstances, you can ask for access to, correction or deletion of information about you, ask for processing to be restricted, or object to processing. You have the right to object to processing based on legitimate interests. Email [email protected] and explain which business entry or message you mean. We may need to confirm you are entitled to request a change.

If you are unhappy with our handling of your information, you can contact the UK Information Commissioner's Office (ICO). You can raise concerns with us first if you prefer.

Cookies and tracking

This directory does not currently include advertising, behavioural analytics or optional tracking cookies in its own page code. Our hosting and security provider may use necessary technologies to protect and operate the site. If we add non-essential cookies or advertising analytics, we will update this notice and provide any required consent controls before enabling them.
